Please review our Terms & Conditions before booking any trip with us in Nepal, Tibet, or Bhutan. These Terms & Conditions apply to all travelers, clients, and agents.
Payment Process
To book any trip with us, travelers have to make at least 20% booking deposit. After receiving your booking request and deposit, we will send you a trip confirmation email to confirm that the trip has been booked.
Our website has a safe payment gateway integrated into it. You can use it freely to book the package of your choice. You can make the booking deposit via credit/debit card (Visa, American Express, Union Pay, JCP), or wire/bank transfer.
Note:
- If you are sure about the trip, you can also make a full payment for the trip.
- We use the booking deposit to make necessary reservations and obtain permits for the trip you have booked. In case of a refund, you will get the balance back after deducting incurred irreversible expenses and our cancellation charge.
- For a last-minute booking (less than 10 days before the departure date), full payment of the trip is required, and there will be no refund if you cancel the trip.
1. Payment by Credit Card and Debit Card (Visa, American Express, Union Pay, JCP)
You can use any Credit or Debit card to make a payment for the trip using our website. We regularly update our payment system, so there is nothing to worry about.
Note that your bank may charge your card for international transactions during booking via our website. Kindly check your bank regulations for international transactions.
2. Payment via Wire/Bank Transfer

After making the wire/bank transfer, send us the payment slip via email. We will send you a booking confirmation email once we check with our bank.
Note: For both payment methods
- Himalayan Spirit Adventure is not responsible for any loss caused during the wire transfer. So, kindly double-check the details.
- Ask the bank you are using to pay for the trip, using a credit/debit card or wire/bank transfer, about their international transaction fee. Himalayan Spirit Adventure will not be responsible for any charges incurred by your bank or financial institution.
- If the amount received by us is less due to the third-party charge, we request you to clear the due balance before the trio starts.
- If the traveler fails to clear the due payment before the trip begins, we reserve the right to cancel the trip.
3. Final Payment/Acceptance of Booking/Client details
If the Client makes a partial payment to book the trip, he/she must clear the remaining amount before the trip begins. You can make the remaining payment upon arriving in Kathmandu (before the trip starts).
Note:
- Your card may be charged for an international transaction while making the remaining payment using the Posh machine in Kathmandu, so please talk to your bank about it.
- ATMs in Nepal may charge your card for international withdrawal, so ask about it with your bank.
Booking Policy
Our booking policy is simple.
- Travelers can book any of our travel services using our website or by contacting us.
- We will need your general information, such as name, contact number, email address, age, etc, to book a trip with us.
- At last, you need to make the minimum booking deposit.
- Upon receiving your trip booking request and booking deposit, we will verify the details and get in touch with you in 1-2 business days for further processing.
- If you are interested in customizing the trip, kindly talk to our team. You can also email us or text/call us on our WhatsApp number for assistance.
Below is the term of payment:-
- A 20% booking deposit is mandatory to book any of our travel services. Depending on the trip or travel service you choose, the booking deposit may vary.
- We do not guarantee the trip if the traveler has not made the booking deposit, and it is acknowledged by us. You cannot hold us accountable if you do not get to join the trip.
- All remaining items due for the trip must be clear before it starts. You can do it from your home or upon arriving in Kathmandu. Failure to do so can result in trip cancellation, and there will be no refund.
Documents for Booking
You will need the following documents to book a trip with us to Nepal. These documents are used to obtain permits and make necessary reservations like transportation, hotel, lodge, etc, for the journey.
- Passport-size photo in jpeg format (proper for printing)
- Scanned copy of your passport (must have at least 6 months of validity from the day you enter Nepal)
Trip amendments
We are quite flexible with amendments to the trip. However, your request must be acknowledged and approved by us for it to come into action.
To make any change to the trip you have selected, we recommend you write to us by email. You can also talk to us for clear communication. However, the changes are only assured with our acknowledgment email.
Note:
- If the changes are requested at the last minute, there is a chance we may not be able to fulfill them. In that case, Himalayan Spirit Adventure will not be held responsible.
- We do our best to meet our clients' requests at any time of the trip. But some things require more time and may not be possible at the last minute. So, we hope for our Client's understanding and cooperation.
- Change in the trip may bring additional charges that the clients have to bear themselves. We will transparently inform you about all the charges that they may have to bear as per their modifications to the trip.
Cancellation Policy
Cancelling a trip with us is as easy as booking a trip. To cancel any trip with Himalayan Spirit Adventure, you have to send us an official email clearly stating the reason for cancellation.
The day on which we acknowledge the cancellation mail and send you the cancellation acknowledgment email will determine the applicable cancellation charge or trip reschedule terms.
Note:
- If you cancel the trip, we have to cancel the transportation, permits, and hotel reservations for the trip. It can lead to cancellation charges by the third party.
- If you postpone and reschedule the trip, we have to re-book the hotels, transportation, and permits, which can lead to additional charges.
- Travelers have to bear all the additional charges incurred due to trip cancellation or rescheduling.
- We do not provide any refund if the Client decides to leave the trip in the middle or for no-show.
If cancellation is done by the Company (Himalayan Spirit Adventure):
We, Himalayan Spirit Adventure, hold the right to cancel the trip due to unforeseen circumstances (such as political instability, natural disaster, poor weather, government intervention, etc) that are beyond our control and may jeopardize your safety.
In such a case, we will provide you with a full refund, reschedule the trip, or provide another trip option of the same value. If you make any changes beyond what is included in the trip, you may have to bear additional expenses accordingly.
Note:
- The company will not be responsible for the additional charges if the Client chooses the new package that costs more than the canceled trip.
If cancellation is done by the Client (you):
- Cancelling 40 days or more before departure: 15% of the full payment will be deducted, and the rest will be refunded.
- Cancelling 20 days before departure: 50% of the full payment will be deducted, and the rest will be refunded.
- Cancelling less than 7 days before departure: 80% of the full payment will be deducted, and the rest will be refunded.
Note:
- If you leave the trip on your own in the middle of the journey, the company will make no refund.
- To ensure maximum return, we recommend that travelers cover their trip with travel insurance.
Changes to Itinerary and Services in the Trip
- We can make changes to the itinerary and services in the trip as per your requests. However, it can bring additional expenses, which must be borne by the Clients themselves.
- Sometimes, especially during the peak travel seasons in Nepal, we may not be able to fulfill the requests made at the last moment. We will give you a clear reason for what happened and why we couldn't fulfill their demands. However, the Client cannot hold us responsible.
- We have clearly stated services included in each of our packages in the Cost Includes & Excludes section of the trip pages. We are not responsible for any additional services or expenses.
- Lukla and Jomsom flight tickets are non-refundable, cannot be rescheduled, or transferred to anyone else's name.
- Any issued trek or tour permits are non-refundable, cannot be rescheduled, or transferred to anyone else's name.
- Personal expenses such as hot showers, charging, WiFi, extra food and drinks, etc, during the trek/hike are not covered by the Company.
- If there are any additional expenses while trekking or touring because of the Client's new requests, the Company will not be responsible for those expenses.
Travel Insurance
- For trekking: To do any trek with us in Nepal, foreigners have to get travel insurance, covering emergency helicopter evacuation and medical treatments. It is a non-negotiable document. Failure to provide us with the travel insurance document with these coverages may lead to trip cancellation.
- For tour: Travel insurance is not necessary for tour packages. However, it is recommended.
- For peak climbing: Travel insurance, covering emergency helicopter evacuation and medical treatments, is mandatory for peak climbing in Nepal. You have to include a helicopter evacuation according to the elevation of the peak/mountain you are climbing. Our team will let you know during booking.
Passport & Visa
Any non-Nepali citizen traveling to Nepal for any kind of trip needs a valid passport and a Nepal travel visa (except Indians).
Himalayan Spirit Adventure is not responsible for the passport and Nepal travel visa. Travelers have to obtain them by themselves.
Note:
- Your passport must be valid for at least 6 months from the day you intend to enter Nepal. So, kindly check your passport's expiry date and renew it if needed.
- Nepal provides an easy on-arrival travel visa option for travelers from many countries. Kindly check your country's status for an on-arrival visa on this site and get your travel visa accordingly.
- Travel visa fees are not covered in our trip packages.
- Indian travelers do not need a passport or a Nepal tourist visa. They can enter Nepal by showing their Voter ID card and any one additional ID card.
Health & Fitness Requirements
- We believe that the Client understands the difficulty and demands of the trip they have booked.
- Every trip has a different difficulty level. Some are good for beginners, but some require past experiences, especially during trekking in the Himalayas.
- Picking the right trek or tour program to fit your health and fitness is necessary. We will give you advice during booking. If you decide to book a trip that may not be suitable for your fitness, we will do our best to support you and ensure your safety, but we do not take responsibility for any mishap.
- We believe that the Client understands that trekking in the Himalayas is not as easy as other mountain ranges around the world. We are not responsible for making any refund if the Client decides to leave the trip in the middle due to the challenges or inconveniences of the remote venture.
- We believe that trekkers who join a trek/hike with us in Nepal understand these facts and are ready to push themselves.
- We have clearly stated the difficulty, demands, and requirements of all trips in the respective packages. We highly recommend travelers to read them before booking any trip with us.
- Travelers with any medical condition or history that is not ideal for a high altitude environment, or the trip condition that they have selected, should consult their doctor before booking, and also inform us.

Emergency and Rescue
We have a very effective and solid emergency and rescue protocol that ensures our clients' safety while traveling with us in Nepal.
We work with the elite rescue provider in Nepal. All of our trips, especially treks and peak climbings, are backed by a reliable team of rescuers.
Our rescue team stays on standby during our trips in the Himalayas and can reach almost any part of the Himalayas within 15 to 20 minutes of the request.
From our side, we make sure you receive rescue support on time. From your side, we want you to carry travel insurance that covers the rescue operation.
Note:
- Without insurance coverage, rescue can be delayed as we have to provide proof of payment. In an emergency, this can be an unnecessary hassle.
- Himalayan Spirit Adventure does not take responsibility for expenses incurred during any rescue operation. Travelers have to bear them.
Child Policy and Underage Trekking
Trekking in the Himalayas with your kids is not a big deal. Underage trekkers (below 18 years old) must be accompanied by their parents or an identified guardian.
We believe that the parents and the children understand the challenges of the trip that they have chosen and can handle them. The Company (we) will not be responsible if the child cannot complete the trip or gets sick during the journey.

Travel Responsibly
We, Himalayan Spirit Adventure, are huge advocates of ecotourism and sustainable travel. Traveling with us means you will follow sustainable and eco-friendly travel practices.
We put every effort into not harming nature in any way during our trips, and we believe our guests would do the same.
If you do not care about nature and have a habit of leaving your waste behind, we may have a problem traveling together.
We are very clear with our stance when it comes to ecotourism, and we will not be changing or bending it for anyone.
- Respect the locals' way of life, culture, practices, faiths, and traditions.
- Do not harm flora and fauna while traveling.
- Do not leave your waste behind.
- We bring as much waste as we can from the mountains during our trips.
- We do not buy plastic water bottles while trekking.
- We give back to the community by donation, skill sharing, and job opportunities.
- We work with local NGOs to help communities that require our assistance in any way.
Use of Images and Videos
- We reserve the right to use our Client's pictures and videos taken by them for promotion and public purposes.
- We will pre-inform our guests if we decide to use any of their pictures or videos, and also give necessary credits.
Complaints
- If you are not satisfied with our service or have any complaints, feel free to inform us directly or in written form via email.
- Our team will do its best to resolve your issue and provide necessary assistance as needed.
- We will take your complaints and feedback seriously and work on them so that it does not happen again.
Privacy
We use your basic information to make only necessary reservations. All your data is safe with us and is not shared with any third party without your consent.
Jurisdiction
These Terms & Conditions shall be governed by the laws of Nepal. Any disputes shall be resolved in Nepal's courts. We appreciate your understanding and cooperation in adhering to these terms and conditions.
